    The Health Information Management (HIM) Supervisor is responsible for all aspects of running the HIM department under the direction of the CFO. The responsibilities include, but are not limited to, the following: coordinating releases of information; ensuring IT systems affecting medical records are effectively and accurately used; managing filing and records management systems; completing medical records; coding and releasing of records for billing; compilation of monthly statistics as assigned; support department budget development; department procedure development; and other duties as assigned under the direction of the Chief Financial Officer. The HIM Supervisor may also serve as the Privacy Officer for the District.

    Under the direction of the Administrator, this position may prepare medical staff agendas and minutes and support provider peer review. Other duties may be assigned by the Administrator.

    The HIM Supervisor must demonstrates a high level of commitment to the success of the department and hospital district. The HIM Supervisor promotes trust and respect with fellow employees, demonstrates a commitment to working with others as part of the health care team, and solve problems in an innovative manner, using factual information as a basis for decision making.

    Specific to HIM Supervisor:

    Manage HIM staff, including hiring, evaluation, motivation, discipline, and termination of employees. Must be able to cover most areas of the department and establish efficient workflows. Ensure IT systems are effectively and accurately used for medical records. Serve on the Revenue Committee and other ad hoc teams as needed. May serve as the Privacy Officer for the District. Develop procedures that adhere to state and federal guidelines and common medical information practice to maximize reimbursement and avoid fraud and abuse sanctions.

    Responsible for the oversight and completion of:

    • Transcription as needed
    • Releases of information
    • Maintenance of all electronic and paper document management systems used by HIM
    • Record destruction and proper tracking of destroyed records by federal and state regulations
    • Record completion, which may include adding charges to a record
    • Ensure records are coded and released to billing in a timely manner
    • Report billing records on hold and the reason why the records are on hold to the Business Office Manager and CFO
    • Maintain RHIT credentials and proactively meet CEU requirements.
    • Prepare and monitor the department budget; ensure resources are used effectively within the department.
    • May prepare monthly statistic reports and respond to ad hoc requests for information.
    • Complete reporting to various disease registries
    • Develop and direct quality improvement initiatives for the department.

    Attends Medical Staff meetings:

    • May prepares agenda as assigned.
    • May prepare minutes, obtain signatures on the approved final copy of the minutes, and maintain a permanent file of the medical staff minutes and attachments. May maintain attendance record as assigned.

    Peer Review duties:

    • Prepare or ensure preparation of a summary of records that meets approved medical staff criteria.
    • Maintains separate confidential peer review files

    Job Duties:

    • Respond to requests in a helpful, cooperative manner.
    • Able to set priorities and cope with interruptions and adjust to changes in schedule
    • Preserves the confidentiality of all Protected Health Information observed.
    • Follows district wide compliance policy, including applicable state and federal laws, and HIPAA
    • Maintain a positive working rapport with physicians, patients, co-workers, and visitors.
    • Ability to schedule time and utilize resources effectively and efficiently
    • Perform job duties in an independent manner with little direct supervision
    • Adhere to Power County Hospital District policies and procedures
    • Perform other job duties as assigned by Chief Financial Officer.
    • Regularly attends meetings within the facility.
    • Proactively looking for ways to further education.

    Qualifications

    • Associate degree in Health Information Management or related degree required; Bachelor’s degree preferred
    • RHIT certified
    • Two years’ relevant experience required
    • Demonstrated ability to lead a team
    • Able to read, write and verbally communicate in English
    • Experience with Microsoft Suite of products; able to adapt to new technology.
    • Excellent communication skills with the ability to communicate with a wide range of audiences
    • Good comprehension skills: able to understand written instructions and interpret authoritative guidance.
