Hybrid Program Manager
CLIENT ASSOCIATIONS: Society for Immunotherapy of Cancer, SITC
REPORTS TO: Associate Director of Online and Clinician Education
STATUS: Exempt (Minimum of 37.5 hours/week)
GENERAL SUMMARY
The Society for Immunotherapy of Cancer (SITC) is a non-profit medical professional society of influential scientists, academicians, researchers, clinicians, government representatives, and industry leaders from around the world dedicated to improving cancer patient outcomes by advancing the science and application of cancer immunotherapy. The Hybrid Program Manager, reporting to the Associate Director of Online and Clinician Education, aides in the successful implementation of all hybrid meetings of the society. Primary responsibilities include sourcing and securing vendors for platforms and technologies used in the virtual components of hybrid meetings, managing communications between vendors and staff to ensure successful integration of technologies and systems, documenting procedures and protocols, and managing the assessment of vendors, systems and technologies used in SITC hybrid meetings.
POSITION RESPONSIBILITIES
- Working with the Associate Director of Online and Clinician Education, meet with applicable staff teams to identify the specific needs of each department for various hybrid meetings and create detailed and succinct proposals to source the needed vendors
- In concert with the Associate Director of Online and Clinician Education and relevant staff and committees, develop timelines and procedures to effectively develop, execute and evaluate SITC hybrid meetings
- Procure A/V services for hybrid meetings including dissemination of RFPs, contracting and review of services for online platforms, in person equipment and associated services of A/V vendors
- Develop training materials for program management for all staff roles involved in execution of the hybrid meetings
- Develop and perform assessments of SITC hybrid meetings to ensure the best user experience
- Collect staff feedback to assess the success of the hybrid meetings
- Monitor trends, analyze learner experiences and research new technologies and platforms to utilize in hybrid meetings
- Develop appropriate communication channels and serve as the lead for all communication between vendors and staff for hybrid meetings
- Work with the Development team for educational grant and reporting needs
- Work with the Communications and Education teams to develop effective marketing strategies and ensure communications plans are appropriate and directed to the appropriate audiences
- Ensure assigned SITC hybrid programming maintains compliance with any relevant accreditation guidelines, as well as those of other international CE providers, through the application of appropriate design, methodology and assessment models (ACCME, PhRMA, etc). This includes ensuring conflict of interest identification and resolution is documented and followed for assigned programs
- Ensure assigned activities are in compliance with funder Letters of Agreement (LOAs) and collaborative agreements
- Update and work within appropriate hybrid meeting budgets
- Attend educational meetings to manage onsite or virtual program activities, as needed
- As needed, work with the live education department to assist in the development of live meetings; including faculty invitations, scheduling and planning, developing materials, reporting, etc.

EDUCATION/EXPERIENCE REQUIRED
- Bachelor’s in related field preferred
- Previous experience managing hybrid meetings a plus
- Previous association management experience and familiarity with nonprofit boards of directors preferred
- Ability to manage multiple projects and meet deadlines under time and resource pressure
- Project management, meeting planning and communications experience desired
- Familiarity with virtual platforms and online learning principles
- Ability to work independently but also with teams, both internally and externally
- Must meet deadlines and have an acute attention to detail
- Word processing and spreadsheet skills in MS Office environment essential. Experience with CMS and web conferencing preferred.

OTHER REQUIREMENTS
- Travel of up to 4 weeks per year
- Some evening and weekend work, as needed
- Occasional lifting, up to 50 pounds
- This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office are a requirement of the role.
