Business Process Specialist, Sr. researches, analyzes, and recommends changes to an organization's business processes to improve operational efficiencies, quality, service, and profitability. Collects and studies operational and performance data to identify trends and opportunities for improvement. Being a Business Process Specialist, Sr. develops process documentation and project plans. Creates flowcharts, process maps, and diagrams. Additionally, Business Process Specialist, Sr. supports cross-functional activities and working sessions during projects' design and implementation phases. Designs and prepares documentation, training materials, and communications supporting new processes. May deliver training to impacted business units. Requires a bachelor's degree. Typically reports to a manager. The Business Process Specialist, Sr. works autonomously. Goals are generally communicated in "solution" or project goal terms. May provide a leadership role for the work group through knowledge in the area of specialization.     Job Description Summary:
    The University of Kansas Medical Center's (KUMC) Facilities Management Department is seeking a self-directed, dynamic professional to conduct organizational studies and evaluations, conduct work simplification and measurement studies, prepare operations and procedures manuals to assist management in operating more efficiently and effectively.

    In addition, this position will provide administrative support to the Associate Vice Chancellor (AVC) and members of the Facilities leadership team while exercising discretion in handling confidential, sensitive, and timely information.

    Job Duties Outlined

    Department Policy & Process Documentation

    Compose and maintain documentation on all FM department processes, policies and procedures
    Ensure that processes and policies are in alignment with department objectives and goals
    Assist FM leadership in implementation, interpretation and deployment of department policies, processes, and guidelines
    Assist in introducing these processes and policies to the department
    Keep records of process and policy changes

    Strategic Action Plan Tracking and Reporting

    Keep track of timelines, milestones and deliverables for strategic action plans and initiatives as assigned across the department
    Coordinate strategic action plan related deliverables, deadlines, meetings with cross function/cross business teams
    Monitor strategic action plan progress and assist with research, analysis, presentation creation, proofreading/editing, following up with cross functional team for input prior to leadership team meetings
    Collaborate with AVC Facilities and the FM strategic team to develop analytics for various initiatives.
    Monitor and report on key performance indicators (KPIs) to FM Leadership & FM strategic taskforce team
    Assist with planning and execution of strategy team events focused on skill-building, professional development, diverse, equitable, positive, and inclusive team culture

    Administrative Support

    Serve as the Administrative Assistant to the AVC and Directors
    Maintain calendars and schedule meetings
    Make travel arrangements and prepare reimbursement requests
    Monitor requests and schedules of FM managed conference rooms
    Assist with department correspondence, document review and editing, word processing needs, and organizing and maintaining department files
    Assist with department scheduling, coordinate needed meeting spaces and audio/visual equipment, and prepare handouts and make copies of documents for meetings

    In collaboration with the business services team:
    Assist FM leadership with coordination and execution of ongoing initiatives
    Assists in the delivery of FM Communications by reviewing and updating websites, distributing newsletters, and managing administration of Yammer or other social media account
    Coordinate leadership and department wide meetings: Schedule meetings, townhalls, maintain distribution lists, draft agendas, take and disseminate meeting minutes, track attendance, order refreshments and meals, coordinate room/ virtual meeting setup, etc.
    Assist with planning and coordinating office events such as department picnic, holiday party, retirements, birthday lunches etc.

    Required Qualifications

    Associates degree in a business-related field; experience performing duties as described may substitute for the educational requirement on a year-for-year basis.
    3-5 years' experience researching, compiling, and organizing data related to operational functions and SOPs
    Proficiency in Excel, Word, PowerPoint, Visio, Adobe Acrobat and Outlook
    Demonstrates high level of professionalism, emotional intelligence, hospitality, and discretion
    Self-directed, action oriented, superior attention to detail, strong organizational skills
    Excellent communication (oral and written), analytical, customer service, problem solving and presentation skills

    Preferred Qualifications

    Bachelor's in a business related field from an accredited college or university or a combination of education and experience in the field performing similar duties
    Creative thinking and technical writing
    3-5 years' experience in program development and support
    Strong understanding of operational controls and business process risks
