Business Process Optimization Manager manages teams that study and develop optimization changes to an organization's business processes to improve operational efficiencies, quality, service, and profitability. Conducts research on best practices and industry trends for the business. Being a Business Process Optimization Manager oversees the in-depth analysis of existing workflows. Utilizes flowcharts and process maps to define existing processes and identify areas needing improvement. Additionally, Business Process Optimization Manager engages and organizes subject matter experts and cross-functional groups to collect inputs. Implements the tools required to collect and measure relevant data, identify key performance indicators (KPI), and produce a data-driven analysis of critical functions. Introduces new business processes to the organization and produces documentation, tools, and training to support adoption. Requires a bachelor's degree. Typically reports to a director. The Business Process Optimization Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Business Process Optimization Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Responsibilities

    Summary

    Under direction of the Facility Director, the Business Manager is charged with the responsibility of establishing and maintaining an accounting and financial system in compliance with legal provisions and generally accepted accounting practices.

    Primary Duties and Responsibilities

    • The Business Manager supervises and directs the activities of subordinates in the completion of assigned tasks. Provides staff training, monitor staff progress, review results, and provides feedback regarding staff progress. Prepares performance evaluations on or before the due date.
    • Recognizes and handles complex administrative and financial details and duties in a professional manner using independent judgment.
    • The Business Manager develops, maintains and operates the facilities accounting system; maintains the fixed asset records; performs purchasing agent duties; reviews all outgoing checks; prepare the annual budget
    • Prepares all confidential matters for Facility Director and corporate office so that information will be kept confidential, involving only those who need to know.
    • The Business Manager oversees the time clock, editing and preparation of time clock reports for mailing to administrative office so that payroll is processed in a timely manner.
    • Maintains and balances petty cash so that all funds are accounted for, subject to periodic audit.
    • The Business Manager oversees commissary operations, records, and maintenance to ensure control of inventory and records.
    • Oversees facility inventory, preparing necessary documentation for both new and disposed assets.
    • The Business Manager maintains a “Purchase Order” and “Requisition Order” system. Reconciles P-card statements and audits facility invoices to ensure timely processing of invoices and bills for payment.
    • Initiates appropriate correspondence as needed by manually typing letters, which will be reviewed by the Facility Director prior to mailing, so that requests for information and replies are made in a timely manner
    • Responsible for mailing all administrative reports in a timely manner, so that contract requirements are met.The Business Manager is responsible for ensuring that the close process for the facility proceeds appropriately, meeting deadlines and working within guidelines. This includes, but is not limited to, billing, accounts payable, client funds, track and review results, and variance analysis.
    • Responsible for the coordination of the budget process within the facility, meeting all deadlines.
    • Oversees all resident trust account reconciliation processes and procedures.
    • Responsible for coordinating all financial audits that occur within the facility and tracking of self-assessments
    • Communicates effectively with all levels of staff in a manner that promotes a team spirit and a sense of cooperation.
    • The Business Manager may perform all duties of Accounting Clerk.
    • Performs other duties as assigned.

    Qualifications

    Minimum Requirements

    • High School Diploma or GED required.
    • Bachelor’s degree preferred.
      • With degree: Two (2) years full time in business or financial institution setting. Two (2) years’ experience supervising staff, preferably in a field related to disadvantaged populations.
      • Without degree: Six (6) years full-time experience in business or financial institution setting. Three (3) years’ experience supervising staff, preferably in a field related to disadvantaged populations.
    • Ability to work with computers and the necessary software typically used by the department
