GENERAL SUMMARY This full-time position is responsible for daily operations within the Cashier’s Office. Position will work closely with the Bursar and Business Services staff to design and implement effective and efficient Cashiering processes. Assists with planning, developing, implementing and administering all phases of Cashier duties. Oversees ongoing cashier staff training and participating in the development, documentation, implementation, and monitoring of policies and procedures necessary to ensure compliance with federal, state, and institutional regulations. This position will oversee processing areas including cashiering functions and cash handling training across the campus in multiple departments, cash receipts, cash deposits, internal cash controls, procedure documentation, reconciliations and serving students on occasion. Directly supervises Cashier’s Office staff including training, daily cash counts and balancing, establishing benchmarks and work goals and scheduling staff in the cashier’s office. Responsible for hiring and termination of student and temporary employees and their daily work schedules. Primary point of contact for all college departments in regards to posting corrections and refunds and general cashiering questions. Supervisor in charge when the Bursar is not available and to provide the initial point of elevated contact for all student questions and/or complaints regarding tuition and fees, late fees, payment options and collection questions at the Cashier’s window.

    EXAMPLE OF DUTIES
    Provide primary supervision to Cashier’s office Account Tech I and II and manage the day-to-day activities of the cashier’s office; including training of new hires, cross training, supervising, and scheduling the Cashier Office staff to ensure proper coverage for breaks, lunches and busy times. Monitor compliance of cash controls and ensure they are strictly followed. Establish measurements and benchmarks of work performed within the Cashier’s Office. Provide performance management process for one Accounting Technician I and two Accounting Technician II. Provide primary supervision to Cashier’s office Account Tech I and II and manage the day-to-day activities of the cashier’s office; including training of new hires, cross training, supervising, and scheduling the Cashier Office staff to ensure proper coverage for breaks, lunches and busy times. Monitor compliance of cash controls and ensure they are strictly followed. Establish measurements and benchmarks of work performed within the Cashier’s Office. Provide performance management process for one Accounting Technician I and two Accounting Technician II. Begin of shift drawer count with Account Tech I and II, verification of deposits and preparation of daily bank bag. Monitor daily drawer balances to determine if a cash drop is needed. Monitor Cashnet to make sure transactions are flowing from one system to the other and take care of any errors. Ensures proper cash handling procedures are followed at all times. Research mail checks that Acct Tech I or II are unable to determine how to post. Opening safe several times a day to retrieve change for cashiers and other departments. Review and close out of cash batches with the cashier at the conclusion of each shift. Recommend and document procedural improvements as approved by the Bursar. Ensure daily bank deposits are timely and accurate. Co-counting safe monthly, with a business services staff member to verify balance. Monitor and order change as needed. Responsible for advertising, interviewing, hiring and scheduling of student employee’s and working with Cashier’s/AR staff to ensure they are able to use the student’s for special projects which are beyond their normal duties. Monitor cashier functions for compliance with accounting standards, State Fiscal Rules, and College policies and procedures. Works with Bursar to develop, establish and implement policies and procedures specific to the unit’s function in compliance with all federal, state and institutional policies. Promotes an atmosphere of customer service that supports the Vision and Mission Statements of the College. Recommend methods to improve cash and accounting controls. Explain steps and documents required to deposit revenue, process refunds, and process collections. While reviewing postings, bank statements, and work processes, detect violations of State Fiscal rules, College Policy, incomplete or inconsistent supporting documentation, and resolve. Provide guidance to internal departments, students and third parties regarding the billing and collections process. In charge of performance management process of the Cashier Account Tech II and Tech I. Work in a dynamic environment with multiple responsibilities. Responsible for alternating end of day closing with Account Tech III’s. Use the CashNet cashiering system to set up eMarkets for non-student AR payment processing for departments throughout the college. Interact with the departments during set up and after set up for those that require updates. Oversee the timely and accurate processing of all Cashier’s Office work including student payments, interdepartmental processing and documentation of all Cashier’s Office procedures and updates. Set up CCD departmental cashier’s in Cashnet such as Testing Center, Vet Tech, and Dental Hygiene, and provide annual cash handling training, ongoing system training and support. Position will set a random audit visit schedule for departments that utilize Cashnet to ensure cash handling procedures are being followed. Monthly review of sample daily Cashnet batches to ensure process compliance and consistency. After reconciliation review, process corrections to other Cashier batches as needed and provide additional training to Cashier’s as needed. Daily review and verification of cash reversal reports for accuracy and issues. Override Account Tech I and II Cashnet voids or processing restrictions after determining why it was needed and ensure that other departments utilizing the Cashnet system get their voids taken care of timely. Analyze student accounts to determine which accounts are subject to being charged a late fee. Send pre and post fee email notifications to the students utilizing a mail merge and mass send through Outlook When upset student is on the phone or at the window, this position is the first point of contact when student asks to speak to a supervisor regarding bills and late fees or collections if the Collections Specialist is not available. Explain Cashier’s Office policies and practices to non- accounting users. Resolve student accounting disputes and discrepancies caused by system or human error. Communicate resolution of discrepancies to students and staff.
