Billing Job Duties
- Coordinate and create invoices to ensure timely and accurate processing.
- Review and finalize invoices for customers and vendors.
- Process statements for customers and ensure invoices are received.
- Interact with employees, customers, vendors regarding billing issues and revising invoices when appropriate.
- Ensure that invoices are e-mailed and/or mailed in a timely manner.
- Review checks received for accuracy and submit to accounting for processing.
- Resolve account discrepancies by investigating documentation, payments, or adjustments.
- Apply pricing according to agreement with service department and customers.
- Ensure correct tax status, tax codes, use tax and sales tax are applied.
- Review account documents to confirm accuracy of billing.
- Process vendor invoices for payment.
- Resolve billing issues and collection of outstanding receivables.
- Communicate with clients and vendors via email, phone and mail.
- File documents and work orders as needed.
Contract Administration Job Duties
- Verify all required and associated documents are in contract packet.
- Enter contract into system and ensure tasking is accurate.
- Monitor contract status quarterly and ensure contractual obligations comply.
- Ensure contract renewal dates are tracked.
- Generate monthly contract customer work orders and compare to active contract list.
Requirements
- High School diploma required. Business or Accounting certification or degree preferred or equivalent experience.
- Must be reliable and trustworthy.
- Ability to use Microsoft office suite, accounting software and basic math skills
- Strong time management skills, attention to detail and excellent organizational skills.
- Customer service experience, ability to work independently and as a team
- Ability to communicate effectively both written and verbally
- Experience working for a construction company or HVAC service industry preferred
- Experience with invoicing, AP/AR a plus
Additional Requirements
- Ability to pass full background screen, MVR and drug screening
- Ability to work overtime, as needed
- Reliable transportation
- Available for minimal travel as needed; less than 10% throughout the year
Compensation
- Wage Range Starting at: $16.00 /hr. based on qualifications & experience
Schedule
- Monday – Friday 7:30am – 4:30pm w/ 1- hour lunch break
