    The Operations Assistant for the Facilities and Operations Department is responsible for providing operational support by ensuring a clean, safe, and healthy environment for Concord Academy students, parents, employees, and guests. This position encompasses various tasks, including oversight of internal and external delivery of mail and packages, security management (i.e., tracking ID cards and keys), monitoring electronic work orders, confirming event setups, and ensuring the cleanliness of the buildings. The Operations Assistant will effectively communicate and coordinate with staff, students, and external vendors and will work under the supervision of the Director of Operations and the Operations Manager/CAD Specialist.

    Responsibilities:

    Security Management

    • Maintain an organized system for issuing, tracking, and recovering ID cards and keys.
    • Maintain a parking sticker database for students, faculty, staff, campus residents, and guests.
    • Maintain inventory of current keys and active ID cards.

    Supervision of Internal Mail Delivery

    • Scan and sort incoming packages and deliveries to notify appropriate staff members.
    • Sort and organize packages and incoming documentation for the Facilities Department.

    Event Setup/Coordination

    • Collaborate with staff members to confirm that event setups are done accurately, in a timely manner, and per the guidelines.
    • Coordinate cleanup and assist the Director of Operations with the breakdown of events.

    Monitoring Work Orders

    • Assist in assigning, updating, and tracking electronic work orders, ensuring timely completion.
    • Ensure work orders are completed promptly and updated with notes when the job is complete.

    Facilities Maintenance & Use

    • Perform regular inspections to monitor the cleanliness and orderliness of the buildings.
    • Report any maintenance, repairs, or cleanliness issues to the Operations Manager promptly.
    • Assist in arranging and maintaining storage spaces for supplies and equipment.
    • Update and maintain various databases, spreadsheets, and documents as required.
