Job Description:

The Administrative Assistant helps launch business operations and activities that keeps maintenance operations moving forward. They are responsible for all administrative functions and associated materials for the aircraft maintenance department including data entry, invoicing work orders for customers, and assisting the maintenance department in all areas. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions.

Job Responsibilities:

• Assist with reception duties and other clerical/office support duties
• Maintain office cleanliness
• Scanning and filing documents
• Communication with customers and vendors via phone, email, and in-person
• Creating work orders and tickets for maintenance
• Assist QA department with record preparation, analysis, logbook entries, etc.
• Assist Parts department with receiving incoming packages and shipping packages
• Assist Parts department to pull and allocate parts
• Assisting other departments as needed

Job Requirements:

• 3 years of administrative experience
• Strong typing skills
• Corridor or any other Aviation software experience preferred
• Experience with quoting and maintenance estimates
• Exceptional time management and verbal and written communication skills
• Professional manner and a strong ethical code
• Ability to multitask and remain motivated and positive
• Strong problem-solving skills
• Experience with working well under pressure
• Commitment to working efficiently and accurately
• Proficient in MS Office Suite with the ability to learn new software applications
• Experience with Data Entry
• Ability to meet and exceed tight deadlines
• Helpful to have a background in billing, parts, or project mgmt./coordination
• Strong interest in learning about the Aviation industry
• Continuously work towards cooperatively/jointly providing quality internal and external customer service
