  • Duties and Responsibilities: 

     

    The Executive Assistant will support the Chief Medical Officer, Chief of Research, and Chief Regulatory Officer, providing backup for other key teammates. The ideal person for this position will be self-driven, proactive, flexible, and detail-oriented, and who always endeavors to go the extra mile.  This person thrives in a fast-paced environment and has a passion for healthcare and executes with minimal direction.

     

    • Supports multiple executives by performing complex and diverse administrative duties including but not limited to:
      1. Maintains calendars.
      2. Organizes internal and external meetings.
      3. Organizes and executes travel itineraries through Concur, including frequent last-minute and quickly changing schedules.
      4. Manages expense reimbursement through Concur (travel and expense system).
      5. Coordinates special events and meetings, both on and offsite, leading the preparation of materials and, logistics including potential travel for non-employees.
      6. Prioritize, track, and follow up on communications and determine the appropriate course of action, referral, or response.
      7. Manages special projects as assigned.
      8. Anticipates and proactively addresses executive needs.
      9. Assists with the management of legal agreements and obtains signatures as needed using DocuSign.
      10. Ability to interact and coordinate with Senior Executives and potential interaction with Board Directors.
    • Works cooperatively and collaboratively with other executives and staff members to create a high-functioning team that sets and achieves goals.
    • Backup support for other support staff.
    • Office management duties.
    • Must be able to travel.

     

    Qualifications

     

    Education & Certifications:

    • Bachelor’s degree preferred.
    • Notary public or willingness to obtain certification.

     

    Work Experience:

    • Biotech, pharmaceutical, or medical device experience is preferred.
    • Minimum 10 years’ experience in supporting C-suite executives.

     

    Knowledge, Skills & Abilities:

    • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
    • Excellent computer proficiency (MS Office – Word, Excel, PowerPoint and Outlook)
    • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
    • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices.
    • Discretion and confidentiality
    • Ability to work across time zones.
    • Must be flexible and open to handle frequent schedule/calendar changes on a daily basis.
    • This position is located onsite at the office in Cranston, RI
