    Associate Registrar

    Stephens College is seeking an Associate Registrar who is a highly organized and detail-oriented individual to join our institution. The Associate Registrar will play a crucial role in supporting the Registrar in managing student records, academic policies, and registration processes. This is a hands-on position which requires a strong commitment to accuracy, confidentiality, and excellent communication skills.


    Key Responsibilities:

    • Assist in maintaining accurate student records, including registration, grades, transcripts, and academic standing. Support registration processes, including course catalog and scheduling, enrollment verification, and transfer credit. Provide guidance to students, faculty, and staff regarding academic policies, procedures, and regulations.
    • Assist with the development and maintenance of digital and manual record-keeping systems. Contribute to the continuous improvement of registration processes and student services. Handle inquiries and resolve issues related to student records and registration in a timely and professional manner.
    • Assist with the implementation of academic policies and ensure compliance with institutional and governmental regulations. Collaborate with academic departments to coordinate course offerings, room assignments, and academic events. Manage the collection and dissemination of official academic transcripts and certification documents. Coordinate graduation processes, including degree audits, certification of candidates for graduation and diploma distribution.
    • Utilize all technologies within the office including Ellucian Power Campus 9, the college’s Student Information System, course scheduling & transcript processing software, National Student Clearinghouse, Microsoft Office, and other internal systems. 

    Requirements

    Qualifications:

    • Bachelor’s degree or equivalent professional experience desired. 
    • Previous experience working in a registrar’s office or in a similar academic administrative office within Higher Education.
    • Knowledge of academic policies, procedures, and regulations in an educational institution.
    • Familiarity with student information systems (SIS) and other relevant software for data management.
    • Strong attention to detail and accuracy in maintaining student records and processing academic documents.
    • Excellent organizational, communication, and interpersonal skills to collaborate effectively with various stakeholders.
    • Adaptability and flexibility to work in a fast-paced environment with shifting priorities and deadlines.
