Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. Extensive knowledge of department processes.   • Grays Harbor College is accepting applications for Associate Director of Financial Aid.  The Associate Director is responsible for the day-to-day management of the Financial Aid Office and works collaboratively with the Director of Financial Aid and Scholarships to administer all aspects of the financial aid process, which includes but is not limited to the development, administration and interpretation of financial aid policies and procedures in accordance with established federal, state and institutional guidelines.

Full-time employees will also receive 15.34 hours of vacation leave per month, 8 hours of sick leave per month and 4 personal leave days a year.  Washington state also observes 11 paid holidays per year.  
     
    This position at Grays Harbor College has been designated as a bargaining unit position represented by the Grays Harbor College Federation of Teachers, Local 4984.  The union and the college have a collective bargaining agreement (referred to as the contract) that is posted on the GHC website at https://www.ghc.edu/hr/labor-relations

    • Review and verify students’ academic progress and financial information to determine eligibility for programs based on federal, state and institutional regulations and availability of funds.
    • Award federal, state and institutional aid to eligible students.
    • Monitor, reconcile and complete reporting of federal, state and other funding programs.
    • Coordinate with the business office, payroll or other departments as needed to resolve issues.
    • Process R2T4 and other reports related to student eligibility and enrollment.
    • Manage the office’s external communications with students. Oversee the office communications flow and produce copy for communications.
    • Coordinate webpage maintenance, post new and consistent information regularly. Ensure that a consistent style and voice are used throughout department communications.
    • Provide information to students, staff and the public on financial aid policies and procedures; advise students about options and help students complete application forms; conducts financial aid presentations, both on and off campus, as needed. 
    • Assist with personnel productivity reports to surmise the needs of the office
    • Conduct financial aid workshops as needed
    • Perform other duties as assigned by the Director of Financial Aid.      
    Supervisory Responsibilities 
    • Work with director of financial aid to insure timely, efficient and professional customer service including responding to incoming calls and emails.
    • Works with the director to develop training, development and accountability of office staff.
    • Work with the director to determine the needs and assess necessary support (i.e. staffing, hours, shifting of responsibilities, leave requests, etc.) to meet the daily operational functions of the office. 
    • Supervise the fast-paced, dynamic classified staff team assigned to the financial aid office.

    • Bachelor’s Degree or at least three years of experience in a professional level position in a Financial Aid Office
    • Strong knowledge of federal and state financial aid processes and regulations 
    • Understanding of relational databases 
    • Strong commitment to servicing students from diverse communities
    • Ability to effectively present information to top management, public groups, and the board of trustees.
