    Position Summary
    Under the direction of the Director of Financial Aid and VP of Enrollment Management, assists the Director in planning and implementing departmental procedures; serves as the Director in the absence of the Director of Financial Aid.

    This is a 12-month, full-time, exempt, position. This job description is not all inclusive as other tasks or responsibilities may be assigned by the supervisor.

    Education and Experience

    Required:
    Bachelor’s degree or equivalent proven work experience in financial aid.

    Compensation
    This is a full-time, 12-month, exempt position with a competitive salary, comprehensive benefits package, with generous paid holiday and leave time. Tuition programs available.

    Responsibilities
    • Assist the Director in various areas of office management including day to day operations, training of staff, and staff supervision.
    • Assist the Director in administration of financial aid programs, including the planning and implementing of policies and procedures that govern the day-to-day operations of Financial Aid.
    • Participate in college outreach activities such as high school visits, financial aid training session, FAF SA workshops, etc.
    • Work with staff and when necessary process and manage all federal and private loans for the college.
    • Work with staff and perform credit checks for Parent PLUS denials.
    • Packages financial aid for an assigned group of students and provides counseling on eligibility to families.
    • Work with staff to conduct need analysis and determines individual student eligibility for various aid programs.
    • Conduct verification of financial aid application data in compliance with federal criteria.
    • In conjunction with the Director, oversee the federal TEACH Grant program.
    • Interact with COD and NSLDS to establish and transmit originations to the U.S. Department of Education. Ensure information is loaded into PowerFAIDS.
    • Assist work study coordinator with monthly and year-end reports.
    • Work with staff on the awarding of Award Michigan College Alliance scholarships and assist Director with awarding of honor convocation and donor scholarships.
    • In conjunction with the Director, work as a liaison between Financial Aid and Business Office to reconcile accounts.
    • Maintains current knowledge of regulations, policies, application requirements and eligibility criteria for financial aid and scholarship programs, including computer hardware and software.
    • Maintain compliance standards for federal and state financial aid programs; ensures conformance to federal, state, and college policies, procedures, and regulations.
    • Attends and participates in professional groups, seminars and/or webinars for professional development.
    • Resolves and/or assists in the resolution of problems and/or complaints and initiates corrective action as appropriate.
    • Work with Director in performance R2T4 as required by federal regulations.
    • Prepare and mail loan exit information to students each semester as required by federal regulation.
    • Provide loan exit counseling sessions for students each semester as required by federal regulation.
    • Work with staff on default management plan.
    • Ensure the Olivet website is current in communicating outside and foundation scholarship opportunities.
    • Work to ensure workstudy students earnings are properly tracked and in compliance with all regulations/requirements.
    • Manage compliance with Michigan Tuition Grant Program and any other state aid programs administered by the office.
    • Perform other duties as assigned by the supervisor.
    • Constantly evaluate the workflows of the Financial Aid operations to help ensure effective and efficient operations of the department.
    • Work with the Director to ensure an updated and compliant Financial Aid Policies and Procedures Manual.

    Accountabilities
    • Maintain program of compliance for all assigned financial aid-related programs.
    • Provide regular reporting and analysis to the Director of Financial Aid and VP of Enrollment Management as requested and required.
    • Inform Director of Financial Aid and VP of Enrollment Management the impact of changes in financial aid policies.
    • Maintain relationships with professional financial aid organizations.
    • Attend professional development activities as approved by the Director of Financial Aid.
    • Maintain working relationships with all departments on campus and off-campus employment site personnel.
    • Develop processes which will support and improve current procedures for financial aid awarding.

    Work is normally performed in an office environment.
