Associate Dean of Mathematics assists Dean with the management of administrative functions of the college of mathematics. Collaborates with Dean on planning college strategic initiatives and supports on college fundraising. Being an Associate Dean of Mathematics provides administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Typically requires an advanced degree. Additionally, Associate Dean of Mathematics typically reports to a Dean. The Associate Dean of Mathematics typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     Hours/Shift/Work Schedule:  This position is a part-time, 10 month (Summers Off), .50FTE.  Hours worked: Hours worked will fall between 8:00am - 5:00pm, Monday through Friday, with occasional nights and weekends.

     

    The selected candidate will directly report to and support the Information Resource Center Supervisor. The IRC is a member of the Consortium of Academic and Research Libraries in Illinois (CARLI). Through CARLI we participate in the I-Share online catalog system, which is comprised of over 130 Illinois academic libraries. Using I-Share, the academy’s financial system, and vendor online systems, the IRC Technical Services Associate purchases and processes materials, including books and other library media. This position also trains IRC technical service learning students and participates in team initiatives.

    Responsibilities

    • Orders, processes, and catalogs all library books and other media
    • Performs copy and original cataloging, database maintenance and troubleshooting
    • Catalogs all library materials and provides access to online delivery of electronic resources using Alma/PrimoVE, the library’s cloud based online catalog/library system.
    • Collaborates with IRC Supervisor and IMSA’s IT department in purchasing, updating and maintaining library computers, other equipment and software
    • Collaborates with IRC team members to update library’s webpage
    • Represents the IRC at regional and consortia technical services meetings
    • Identifies and select vendors and negotiate educational discounts in conjunction with the procurement office and IRC Supervisor.
    • Collaborates with IRC Supervisor and Librarian to help track the IRC book/e-book budget
    • Performs an annual inventory of the library equipment and a partial inventory of library collection with the assistance of the team Administrative Assistant.
    • Coordinates the withdrawal of all outdated library materials from ALMA and OCLC online catalogs.
    • Collaborates with the IRC supervisor to compile an annual summary of the library collection for the State Asset Report.
    • Develops procedures for processing incoming library material
    • Actively participates in cross-team initiatives by serving on committees as needed and participating in community and library programming such as Family Reading Night, Read-Ins, Panel Discussions, IMSAloquium, PD Day, etc.
    • Recruits and trains technical services service learning students
    • Provides support (including troubleshooting) for library technology, including copier, printer, MAC Lab computers, scanners, and BookScan station
    • Other duties as assigned

    Qualifications

    MINIMUM QUALIFICATIONS

    • High school diploma and 2-4 years library experience or Library Technical Certificate (LTA) or equivalent combination of relevant education and experience.
    • Understands DDC, OCLC, RDA, MARC, LC Subject Headings and Classifications and descriptive cataloging
    • Ability to perform accurate, detailed work
    • Aptitude for computer applications and equipment operation
    • Ability to establish and maintain effective working relationships with fellow employees and students
    • Demonstrated ability to plan, organize, and work independently.
    • Ability to train students.
    • Adaptability in a changing environment, learning new skills as needed.
    • Accurate typing skills.

     

    PREFERRED QUALIFICATIONS

    • Cataloging experience in an academic setting.
    • Knowledge of Open Athens, Ex-Libris Alma and PrimoVE
    • Strong commitment to diversity, equity, inclusion, student learning and creativity.

    WORKING CONDITIONS AND PHYSICAL REQUIREMENTS 

    Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This role generally requires mobility, written and verbal communication, hearing and visual capabilities. However, reasonable accommodations, including assistive technology, may be made to enable qualified individuals with disabilities to perform such requirements. 

     

    COMPENSATION

    This is a 10 month non-exempt position. Starting salary no less than $21,997.47 or $29.73/hr and is commensurate with training and experience expected at this level of employment. The Illinois Mathematics and Science Academy offers an excellent comprehensive benefits package including health and retirement benefits. The State Universities Retirement System (SURS) is reciprocal with other Illinois public retirement systems such as the Teachers’ Retirement Systems of Illinois (TRS) and the Illinois Municipal Retirement Fund (IMRF).
