Associate Bursar has responsibility of one or several aspects of institutional funds. Oversees the operations of student financial services, billing and receivables, and cashiering functions of the university/college. Being an Associate Bursar ensures compliance with university, state, and federal regulations and standard accounting procedures. Typically requires a bachelor's degree. Additionally, Associate Bursar typically reports to Bursar. The Associate Bursar manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. Extensive knowledge of department processes.   • POSITION PURPOSE

    This position is responsible for ensuring all funds, including Title IV funds and alternative funds, are posted to the student accounts properly and timely. Ensure all refunds due are processed within guidelines of accrediting agencies, the state, and the Department of Education. A Bursar is also required to ensure all drop and cancel students have the required Return to the Title IV calculations performed in a timely manner, and that such students have a letter with the summary of their student account.


    JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES

    • Review Student Status Change Report for all drop and cancel students.
    • Calculate all student refunds via CampusNexus within four (4) days of student’s date of determination of inactive status and schedule refunds of unearned aid received.
    • Reverse any charges of tuition and fees that do not apply.
    • Prepare and mail out Bursar Department Exit Letter to students and document on CampusNexus.
    • Review approved batches Pell/SEOG/ACG and approved batches of Direct loans in CampusNexus. Note total to complete the draw from G5.
    • Request draw of federal funds from G5.
    • Post Pell/SEOG/ACG and Direct loans to appropriate student accounts through CampuNexus.
    • Review and process refunds, student stipends and post EFT payments.
    • Reconcile spreadsheets for G5 and Fed Funds bank account and complete reconciliation of deposits with CampusNexus against monthly statements.
    • Assist in campus mock and accreditation audits/visits, request of information from other departments and/or accrediting agencies, in support of campus operations.
    • Perform and complete other tasks that may be assigned by Supervisor.


    Education

    • High School Diploma or GED, or equitable on-the-job experience required
    • Bachelor’s Degree preferred


    Experience/Skills

    • Employee must have at least two (2) years financial or accounting experience, preferably in an academic environment.
    • Ability to work in a fast-paced, performance-driven, compliance-oriented educational environment
    • Detail-oriented, analytical, highly organized, and have the ability to multi-task and work well under pressure
    • Demonstrate a high level of integrity, strong work ethic, and professionalism
    • Persuasive and effective verbal and written communication skills, with a strong focus on customer service in an educational setting
    • Highly motivated and goal-oriented, with strong problem-solving skills Bursar
    • Must be able to work independently and as collaborative team member and have exceptional interpersonal skills
    • Excellent computer skills are required with proficiency in MS Office applications including, but not limited to, Word, Excel, Outlook, SharePoint, and Teams. CampusNexus experience a plus.
    • Ability and willingness to work outside of regular work shifts, including evenings and/or weekends as necessary or as requested by Supervisor.
