Brief Summary of Job Duties
Under general supervision and guidance of the Social Work Director at UCSB Student Health, the Social Work Office Manager acts with a high level of independent judgment in the establishment, implementation and management of the general operations for the Social Work Program of UCSB Student Health.
The Office Manager: Serves students, staff, faculty and requires analysis of individual cases to determine appropriate actions. Identifies and resolves administrative problems, supports the staff in the areas of scheduling, program presentations, data reports, outreach materials, and program development. Administers the logistics of the Social Work program, including triaging of service requests, handling referral requests, scheduling appointments, coordinating meetings, handling purchasing and procurement, travel and conference related logistics, assisting with data and financial reports.
Required Qualifications
* High school diploma or equivalent experience.
* Experience with Microsoft Office and Google Suites.
* Experience in relevant administrative work.
* Experience working with college age population.
Preferred Qualifications
* Bachelor's degree or equivalent experience/training.

Job Functions and Percentages of Time:
Program Coordination (90%)
* Serves as primary contact for the Student Health Social Work Program main information phone, zoom and email communications and responds to inquiries from students, faculty, staff, parents and community stakeholders related to the services of the Social Work Program.
* Schedules student appointments with the Social Work Program using the electronic medical records systems.
* Coordinates all travel plans, advances, expenditures and reimbursements, and manages travel and conference approval requests under direction of the Social Work Program Director.
* Maintains appropriate records, statistics and files of all program activities.
* Maintains program budgets and tracks yearly spending trends. Advises the Social Work Director of updates for projected supplies and expenditures.
* Maintains thorough knowledge of policies and procedures relating to the delivery and coordination of the Social Work Program, as part of the behavioral health services at Student Health including crisis response.
* Coordinates, schedules and assists with requests for Social Work Program trainings and presentations for students, staff, faculty and community stakeholders.
* Provides essential administrative support for the Social Work Program clinicians by anticipating their clinical needs, troubleshooting and problem-solving, overseeing internal and external office schedules and calendars, maintaining shared document files, and coordinating office work flow.
* Distributes and updates data as needed. Creates special reports, graphs and charts as needed for special projects. Provides comprehensive customer service, including phone and reception duties, and protocols for walk-ins and troubleshooting.
* Participates in customer service improvement meetings and projects. Assists with project planning for conferences, workshops, seminars and meetings.
* Participates and works closely with UCSB Student Information Systems and Technology and Student Health IT department in planning, development, implementation and maintenance of any necessary technology implementations, including Point and Click Solutions, the Student Health electronic medical records and scheduling system.
* Organizes staff meeting agendas, staff schedules and serves as Student Health contact for Social Work Program related needs. Refers students to the appropriate services with consideration for distressed student's needs, political and time sensitivity, and program limitations.
* Ensure copies of program descriptions and comprehensive reports are kept current under the direction the Social Work Program Director.
* Assists the Social Work Director in writing and preparing various reports and presentations for the Student Health Services Executive Leadership Team and Governing Body.
* Utilizes independent judgment and has a strong understanding of behavioral health issues in order to be an effective representative of the UCSB and Student Health Behavioral Services.
Special Projects (10%)
* Program development and assessment in support of Social Work Director.
* Other administrative duties and projects as assigned.
