Assistant Bookstore Director manages one or several activities related to the operation of a university/college bookstore. Purchases new books, coordinates the sale of used books, orders new inventory as needed. Being an Assistant Bookstore Director ensures that the textbook inventory is aligned with the needs and class schedule of the students. Typically requires a bachelor's degree. Additionally, Assistant Bookstore Director typically reports to a bookstore director. The Assistant Bookstore Director supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Assistant Bookstore Director typically requires 3-5 years experience in the related area as an individual contributor.     Description

    General Summary: Under the direction of the Director of Business Affairs, the Bookstore Manager will direct bookstore and Fitness Center operations. Provide and market textbooks, trade books, soft goods and school supplies efficiently and at the lowest possible cost to consumers. Plan and manage day-to-day operations of the campus bookstore and fitness center. Coordinate and participate in the purchasing, stocking and selling of merchandise and textbooks. Maintain a significant floor presence and availability to customers and staff. To further CMNs academic goals and programs by ensuring efficient service and fiscally sound policy.

     

    Principal Duties and Responsibilities:

    1. Determine the need for classroom textbooks and supplies for day and evening programs through meetings conducted with Deans and individual faculty members; determine the required quantity of textbooks through analysis and manipulation of registration and enrollment statistics
    2. Solicit and review lists of recommended trade books for the purpose of satisfying supplementary academic needs.
    3. Interview publishing and manufacturing representatives for the purpose of evaluation of vendor products, purchasing terms and discount policies.
    4. Coordinate, review and select merchandise classes to be added within the Bookstore.
    5. Supervise the proper delegation of duties to responsible staff members; conduct periodic evaluation of staff performance for the purpose of providing guidance and incentive.
    6. Administration and control of the textbook operation including purchasing and record keeping.
    7. Direct Bookstore and Fitness Center staff in the performance of all day-to-day operations.
    8. Hire and train permanent, temporary and student employees as needed in all phases of operation of the Bookstore and Fitness Center.
    9. For important Bookstore events such as buy-back, coordinate operational aspects which include staff scheduling, increasing cash on hand, adjusting the stores physical layout and equipment, and ensuring that textbooks and merchandise are appropriately available.
    10. Supervise sales floor and cashiering functions and provide customer service.
    11. Complete or supervise all store opening and closing procedures on a daily basis; affect the daily closeout process of cash registers and prepare bank deposits.
    12. Implement policies and procedures as directed by the Director of Business Affairs and assist in developing new policies and procedures.
    13. Responsible for all activities related to the merchandising of school supplies, clothing, candy, etc. This includes meeting with vendors, establishing quantities to be ordered, generating purchase requisitions, receiving the goods and evaluation price mark-ups and markdowns.
    14. Direct the receiving and stocking or preparing of all incoming and outgoing shipments.
    15. Prepare administrative and operational reports as required.
    16. Be competent in all aspects of the point-of-sale system and the related equipment including cash registers and personal computer and printer applications.
    17. Maintain store and fitness center appearance and cleanliness.
    18. Supervise and assist in taking physical inventories.
    19. Perform cash register duties as required.
    20. Assist customers.
    21. Must lift, carry, load and unload merchandise weighing up to 50 pounds.
    22. Keep abreast of the publishing industry as it relates to College Textbooks as well as methods of textbook sale and delivery such as internet sales.
    23. Participate on College committees as assigned.
    24. Other related duties as required.

    Qualifications


     

    Job Specifications:

    1. Minimum Requirements A bachelors degree in business or related discipline required. Experience in higher education setting. Good computer skills. At least three years experience in fundamental accounting, purchasing and inventory control. Good organizational skills and ability to work well with the public essential. Or, any combination of education and experience which is substantially equivalent to the above qualifications.

    2. Preferred Requirements A masters degree. Knowledge of tribal college student services issues. Excellent oral communication, interpersonal and organizational skills. Knowledge and skill in the use of Microsoft Word, Excel, and Power Point.

    3. Special Considerations Ability to speak the Muscogee (Creek) language is preferable but not a requirement. Native American and veteran preference.

     

    Licensure (if appropriate): Valid Drivers License.
