Entry Gate Manager, Park City Kimball Arts Festival

  • The Park City Kimball Arts Festival is hosted by the non-profit Kimball Art Center and Park City Municipal Corporation. Since 1976, the Park City Kimball Arts Festival’s mission has been to facilitate connection and inspiration for the Park City community and the participating artists.

    Kimball Art Center’s mission is to inspire, educate and connect through art. We believe art should be accessible to all and that art plays a critical role in the overall success of the Park City community. That’s why we provide art education in Utah schools at no cost, offer thought-provoking exhibitions in our galleries, and host a number of annual community events.

    Job Description:

    The Entry Gate Manager, Park City Kimball Arts Festival, is an occasional/seasonal employee or independent contractor of the Kimball Art Center.

    This position assists KAC's accounting team with the pre-festival set-up of the gate operations, training of gate coordinators, set-up of gates prior to the festival, assists with info booth operations, and the smooth running of the box offices during the festival. This position is visible and directly interacts with all levels of staff, board, and the public.

    Classification Level: Occasional/seasonal, hourly, or independent contractor

    Reports To: Accounting Team - Finance Director and Staff Accountant

    Supervisory Responsibilities: Arts Festival temporary entry gate staff (approximately 15-17 staff members)

    Responsibilities/tasks include (but are not limited to):

    June:

    • Attend Arts Festival planning meeting with KAC accounting team to review tasks, timeline, equipment needs, documents, staffing, new ideas for 2024: communication through group text during the festival (no radios), temporary table set up at main gates by 3:30 PM on Friday if tents are not ready, etc.
    • Review prior year gate coordinator training manual and become familiar with Etix (ticket platform used to sell Arts Festival tickets); schedule Etix training if needed.
    • Review prior year Etix training videos to make sure that they are still up-to-date.
    • Review gate set-up (including placement of barricades) with Arts Festival Director, Arts Festival Operations Manager, and KAC accounting team member; festival footprint walk-through on Main Street.
    • Review gate signage with Arts Festival Director and KAC accounting team member.
    • Update volunteer one-sheets and submit to the Finance Director for approval.
    • Meet with Curator or info booth staff to review info booth operations, Arts Festival merchandise, and general festival information.

    July:

    • Update prior year Gate Coordinator training manual with KAC’s accounting team and Arts Festival Director, and email training manual to gate coordinators =two weeks prior to training.
    • Set-up two mandatory training sessions for gate-coordinators and gate runners (Week of 7/15 and week of 7/22); send out a survey to find out what dates/times work best; schedule make-up sessions if needed; names and email addresses of the gate team will be provided by the accounting team.
    • Collect food preferences/allergies for meals and t-shirt sizes, and email count to the accounting team.
    • Distribute parking instructions, parking pass, Swede Alley access decals, festival t-shirts, and staff credentials (labeled with staff name) to the gate team during 2 training session.
    • Assist accounting team with gate schedule and assignments (gate coordinator, ticket seller, floater, gate runner).
    • Take inventory of “Etix” gate equipment and test “Etix” gate equipment prior to the gate coordinator training (set time and date in computers, connect to Wi-Fi, test cc scanners, test computers, save festival websites in web browser); communicate any discrepancies from Etix order and any defective equipment to the accounting team (accounting team will contact Etix and request replacement of defective items).
    • Label all Etix gate equipment for each location and set-up username and password for the equipment (scanners will be tested by onsite Etix support).
    • Review gates that have existing power sources; label portable batteries for necessary locations. List of gates with existing power will be provided by the Arts Festival Operations Manager.
    • Set-up Wi-Fi for Verizon hotspots based on accounting team’s instructions (accounting team to order more hotspots as needed); label hotspots for each location.
    • Visit all hotels within walking distance and ask if concierge staff would like to sell wristbands to hotel guests, or give them instructions on how to buy tickets on-line and provide other Arts Festival details.
    • Update logs (cash receipt, wristband log, cash pick-up log) for all cash locations and put in gate binders.
    • Take inventory and review gate supplies at storage, and email gate supply order to accounting.
    • Prep gate bins for all gate locations and label them.
    • Assist with organizing and preparing festival merchandise and info booth items.

    August – Festival Days:

    Thursday:

    • Meet Etix on-site support, review gate procedures, and perform walk-through on Main Street.
    • Pre-festival meeting with accounting team to go over set-up, last minute issues, and other.

    Friday:

    • Assist with physical gate set-up and signage (two gate team members will start early to assist) prior to 3 PM.
    • Complete bins with computer equipment, batteries, starter cash, and wristbands (starter cash and wristbands will be controlled and provided by accounting).
    • Assist with info booth set-up, if needed.
    • Meet gate team at beginning of shift (Friday: 3 PM, Saturday/Sunday: 8:30 AM), coordinate distribution of gate bins, and assist with set-up of all gates (accounting team will help). Note: Operations team will set up tents and assist with large signage. Based on the timing of set-up, it may be necessary to set up 2 tables as a temporary sales station at Lower Main gate.
    • Coordinate testing of all computer equipment with Etix onsite support during gate set-up.
    • Ensure the smooth running of box offices during the festival, supervise gate coordinators throughout the festival, and report any issues or problems to the accounting team.
    • Coordinate bathroom/meal breaks with gate coordinators and gate runners/floaters. Note: Volunteers are never to be left unattended.

    Friday End-of Day Duties:

    • Meet the gate team in the accounting room and ask them to follow end of day procedures.
    • Take inventory of all computer equipment, scanners, batteries, hotspots, and charge them.
    • Take inventory of all bins to make sure that all bins were returned.
    • Except for equipment to be charged, set up gate bins for the following day.
    • Meet with the accounting team to report on any issues/problems/needs.

    Saturday/Sunday:

    • Arrive at 8 AM and place equipment and starter cash into gate bins.
    • Meet gate team at beginning of shift (Friday: 3 PM, Saturday/Sunday: 8:30 AM), coordinate distribution of gate bins, and assist with set-up of all gates (accounting team will help).
    • o Coordinate testing of all computer equipment with Etix onsite support during gate set-up.
    • Ensure the smooth running of box offices during the festival, supervise gate coordinators throughout the festival, and report any issues or problems to the accounting team.
    • Coordinate bathroom/meal breaks with gate coordinators and gate runners/floaters. Note: Volunteers are never to be left unattended.

    Saturday End-of Day Duties:

    • Meet the gate team in the accounting room and ask them to follow end of day procedures.
    • Take inventory of all computer equipment, scanners, batteries, hotspots, and charge them.
    • Take inventory of all bins to make sure that all bins were returned.
    • Except for equipment to be charged, set up gate bins for the following day.
    • Meet with the accounting team to report on any issues/problems/needs.

    Sunday End-of Day Duties:

    • Meet the gate team in the accounting room and ask them to follow end of day procedures. On Sunday, please ask the gate team to return all signage to the accounting room.
    • Take inventory of all computer equipment, scanners, batteries, hotspots to make sure they were returned.
    • Take inventory of all bins to make sure that all bins were returned.
    • Meet with the accounting team to report on any issues/problems/needs.

    Post-Festival:

    • Monday: Assist accounting team to clean temporary accounting office and return any rental equipment.
    • Complete post-festival inventory for merchandise items and make sure all info booth items are accounted for and returned to the AF storage unit.
    • Post-festival meeting (Date: TBD) to discuss box office operations and recommendations for 2025.

    Other:

    • All documents, drawings, methods, calculations, processes, plans, and other work products created or modified during employment are the property of Kimball Art Center.
    • Provide support for KAC activities as needed.

    • Self-directed individual; highly adept at working with peers from a variety of disciplines within and outside the organization.

    Work Environment

    This job operates in a professional office environment, off site venues and outside event areas in various weather conditions. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and AV equipment. Some ladder use may be requested. Must be able to lift 50 lbs. Evening or weekend will be required for the event. The employee must be present in Park City, UT from June 1- August 6th.

    Compensation and Benefits:

    • Hourly: $25.00-$27.00/hour (DOE)
