    The Finance Director, reporting directly to the Executive Director, is responsible for leading all aspects of the Museum’s financial operations. This includes financial reporting, accounts receivable and accounts payable management, grant support, and comprehensive budget administration. The Finance Director is also tasked with producing accurate financial reports, maintaining meticulous accounting records, ensuring the precise processing of financial transactions, and overseeing a robust system of controls and budgets, basic human resources and policy documents. These responsibilities are strategically designed to mitigate financial risk, enhance financial reporting accuracy in accordance with generally accepted accounting principles (GAAP), adhere to grants management standards, and facilitate successful audits.

    The Finance Director is a full-time position with benefits, with an anticipated workload of 35-40 hours per week, with a flexible Monday-Friday work schedule.

    Key responsibilities include but are not limited to:

    • Oversee day-to-day accounting operations and maximizes the return on financial assets and policies in collaboration with the Director of Operations.
    • Continuously examine financial data and deliver precise and timely financial reports. Develop monthly financial statements for senior leadership and the Board of Trustees, incorporating analysis and explanations of budget-to-actual variances. Generate monthly reports on admissions revenue analysis for the entire staff.
    • Supervise the forecasting of organizational cash flow through collaboration with staff, conduct routine cash reconciliations, and perform reconciliations of Accounts Payable and Receivable and Payroll. Identify opportunities for cost-cutting, savings, and profit.
    • Lead yearly budgeting and planning process, working closely with the Senior Leadership team and conducting regular check-ins with key staff to build sustainable departmental and operating budgets
    • Provide grant support, ensuring compliance with grant requirements and management standards.in collaboration with Advancement Department
    • Collaborate with department heads to administer and monitor budgets across departments to optimize financial resources, including attending weekly department head meetings and presenting finance trends and needs.
    • Ensure that financial reporting complies with generally accepted accounting principles (GAAP). Develop department protocols and controls based on industry best practices, leveraging technological efficiency and automation, and transition recent records to desired system and workflow
    • Actively monitor financial assets, including endowments, lines of credit, and loans. Manage insurance policies, including property, liability, event, art, etc. Reconciles staff credit card statements and expense reports and monitors spending. Facilitate smooth and successful financial audits.
    • Support and amplify the Newport Art Museum’s mission and core values, including Diversity, Equity, Inclusion, and Accessibility values. Work professionally with individuals of all levels and abilities, including vendors, trustees, donors, volunteers, and other stakeholders.
    • Assist the Executive Director in reporting to the Board treasurer and finance committee. Attend Board meetings as necessary.
    • Supervise benefits administration including healthcare, pension, and health savings accounts. Ensures compliance with best practices for HR recordkeeping and policy.
    • Other duties as assigned.

    Minimum Qualifications (Knowledge, Skills, and Abilities)

    • Bachelor’s degree in Finance, Accounting, or related field (Museum/Non-Profit experience preferred)
    • CPA preferred
    • A minimum of 3 years of experience in not-for-profit accounting management
    • Excellent communication, written, and interpersonal skills
    • Detail-oriented with a commitment to accuracy
    • The ability to convey financial information with clarity to staff and Board
    • Proven experience in financial management and accounting
    • Knowledge of generally accepted accounting principles (GAAP)
    • Strong organizational and analytical skills
    • Proficiency in Quickbooks and other financial software systems
    • Ability to work independently and as part of a team
    • Grant management experience is a plus
    • Ability to meet deadlines and to handle multiple projects simultaneously
