Collaborating closely with the Director of Programming as well as both the Events and Operations Departments, you will be responsible for ensuring multiple projects and departments work together efficiently and effectively to deliver an outlined event matrix. You will collaborate with cross-functional teams, vendors, and clients to achieve successful outcomes. Develop and articulate clear, measurable, and achievable goals for events and projects, aligning them with overall organizational objectives. Your attention to detail, excellent organizational skills, and ability to manage multiple tasks simultaneously will be crucial to your success in this role.

    Programming Strategy:

    Develop and implement strategic plans for multiple events in collaboration with the Director of Programming, ensuring alignment with the company's vision and objectives.

    Assist in defining clear and measurable objectives for each event under the guidance of the Director of Programming, ensuring alignment with the company's overall mission and brand identity.

    Conduct market research and audience analysis for multiple events to tailor programming to specific attendee needs and interests.

    Collaborate on conceptualizing unique and engaging event themes adaptable to various components.

    Work closely with the Director of Programming to curate diverse lineups of attractions, performances, vendors and interactive experiences for various age groups and interests.

    Support the creation of immersive and memorable event experiences by analyzing market trends and customer feedback under the guidance of the Director of Programming.

    Support the Director of Programming in collaborating with design and entertainment partners in selecting performers, artists, and entertainers.

    Community Partnerships:

    Assist the Director of Programming in identifying and building partnerships with local organizations to potentially operate new programs.

    Collaborate with the team to strengthen relationships with community partners for mutual benefits.

    Collaborative Coordination:

    Work closely with the Director of Programming and Director of Finance to develop budgets, monitor expenses, and ensure financial goals are met.

    Support effective communication and collaboration between departments for the seamless integration of event planning and execution.

    Assist in allocating resources efficiently in collaboration with the Director of Operations and Director of Event Services.

    Contribute to establishing clear timelines and milestones for event programming activities.

    Vendor and Talent Management:

    Under the guidance of the Director of Programming, identify, evaluate, and negotiate with vendors and service providers.

    Assist in overseeing vendor contracts, ensuring all parties understand obligations and deliverables.

    Monitor vendor performance and report issues promptly to the Director of Programming.

    Collaborate on negotiations with talent representatives for talent contracts and manage logistics.

    Assist in building positive relationships with talent, ensuring a smooth performance experience.

    Participate in gathering feedback from attendees for talent performance evaluation.

    Cross-Departmental Support:

    Collaborate with key departments to integrate event programming seamlessly into overall event planning.

    Work closely with the marketing team, providing support to develop consistent messaging and promotional efforts.

    Provide on-site support during events under the guidance of the Director of Programming to ensure seamless execution of programming elements.

    Quality Control and Evaluation:

    Assist in defining clear and measurable performance metrics for event programming under the guidance of the Director of Programming.

    Support robust data collection methods and participate in post-event evaluations.

    Collaborate on ensuring compliance with regulations, safety standards, and licensing requirements.

    Assist in developing contingency plans for crisis management and risk mitigation, reporting to the Director of Programming.

    Regularly communicate evaluation findings and insights under the guidance of the Director of Programming.

    Requirements

    Bachelor's degree in Event Management, Marketing, or a related field; relevant experience may substitute for formal education.

    Proven experience in programming or content curation for events within the events industry.

    Strong network within the events and entertainment sector, with the ability to attract high-profile speakers and participants.

    Exceptional organizational and project management skills, with the ability to multitask and meet tight deadlines.

    Excellent communication and negotiation skills to liaise effectively with speakers, sponsors, and internal teams.

    Familiarity with event technology and platforms for virtual or hybrid events.

    Creative mindset with a keen eye for identifying unique and compelling content ideas.

    Adaptability to a fast-paced environment and a passion for staying ahead of industry trends.

    Knowledge of budget management and cost-effective programming strategies.
