JOB SUMMARY:
The Admissions Coordinator assists the Admissions Director in all phases of long-term care/sub-acute rehabilitation resident admissions. Under the direction of the Administrator and Director of Admissions, the Admissions Coordinator admits residents to the Facility by means of facility guidelines, policies and procedures. He/She is an important component in providing clinical admitting information to staff to ensure compliance with state and federal regulations regarding documentation and assessment completion.
EDUCATIONAL BACKGROUND:
A minimum of a High School Diploma; Associates Degree Preferred.
KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS:
- Has a minimum of 2 years’ experience in a long-term care/sub-acute rehabilitation nursing facility with knowledge of all aspects of the long-term care/sub-acute rehabilitation admission process.
- Has the ability to relate to long-term care/sub-acute rehabilitation individuals, their family and sponsors.
- Must have good communication skills; must understand English; written, oral and listening.
- Must demonstrate strong leadership skills, critical thinking and problem-solving skills.
- Must be a team player, able to work independently, and with a wide variety of individuals.
- Must maintain a responsible and positive attitude.
- Must have good organizational skills.
- Must have good computer skills. Knowledge of SigmaCare, NaviHealth, Allscripts, Ensocare a plus.
- Must be able to multitask.
DEPENDABILITY:
- Maintains a good attendance record.
- Flexible about scheduling as assigned by the Administrator or Admissions Director.
- Accepts and utilizes constructive criticism.
- Performs duties reflective of assigned work scheduled hours.
DRESS CODE/APPEARANCE:
- Name badge will be worn at all times while in the building.
- Maintains a neat and clean appearance.
- Footwear should not put the wearer at risk for injury. No flip-flops or Crocs.
- Professional, casual attire. Pants, skirts, dresses, blouses.
- No blue jeans, T-shirts or gym-like attire, unless as designated by the Owner or Administrator. Clothing should be neither tight nor baggy.
- Jewelry and nail length must not interfere with performance of job duties as per facility policy, i.e., no dangling jewelry.
- Perfumes should be avoided or kept at a minimum so as not to offend others.
RESPONSIBILITIES OF DAILY FUNCTIONING:
The Admissions Coordinator shall report directly to the Administrator and Admissions Director. Responsibilities shall include, but not necessarily be limited to the following:
- Markets facility by preparing and providing informational brochures; answering questions and conducting tours.
- Obtains applicant information by requesting PRIs, completed applications and medical information; verifying and clarifying information; interviewing residents and family members; explaining admission criteria.
- Verifies all insurances; primary as well as secondary.
- Obtains authorization for HMO plans as well as initial authorizations for MLTC plans.
- Admits residents by completing admission and financial responsibility forms; coordinating transportation services.
- Communicates with other health care providers to ensure quality and continuity of care.
- On start date, inputs new MLTC insurance information in SigmaCare, prints new face sheet for chart and informs all departments via email of new insurance.
- Calls MLTC plan to advise them of admission to facility.
- Keeps record of all MLTC and HMO contracts. Updates and ensures renewals done in a timely fashion, providing requested documentation.
- Maintains community contacts/relationships.
- Markets facility in the community and at local hospitals and Assisted Living Facilities.
- Keeps residents safe by following safety policies, procedures and regulations.
- Protects organization reputation by keeping information confidential.
- Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
- Responds to all emergencies and codes; Code Red (fire), Code D (disaster), Code G (armed intruder), and Code Green (facility manpower required), as well as resident alarms in room, bathroom, bed and wheelchair.
