Function: Administrative Job Summary: The Administrative Support role provides administrative support and clerical assistance for multiple departments to ensure efficient office operations. This role will report to the Human Resources Manager but will support multiple departments within the CF Port Neal complex. Job Description: 1. Maintain physical and digital filing systems. 2. Organize schedules, meetings, events, and travel. 3. Develop collaborative relationships with administrative support team members from various departments. 4. Provide general administrative duties in support of multiple departments: Organize catering for meetings and events. Participate in safety drills. Record-keeping Order and manage office supply inventories. Sort and distribute incoming mail. 5. Assist in preparing presentation materials for recurring, semi-annual meetings and technical conferences. 6. Provide general support to visitors. 7. Ensure all plant tours with external customers and visitors are coordinated with site team members. 8. All other duties as assigned. Successful incumbents will have: 1. Ability to complete work duties and tasks safely. 2. Minimum of high school education or equivalent. Two years of college preferred. 3. A minimum of one (1) year of experience as an administrative assistant required. 4. Proficient in Microsoft Office Suite. 5. Excellent organizational, time management and communication skills including communicating with all levels of team members, especially during difficult and challenging situations. 6. Ability to prioritize work. Self-motivated and capacity to work independently. 7. Excellent telephone, listening, verbal and written communication skills. 8. Ability to maintain a high degree of professionalism and confidentiality. 9. Strong level of attention to detail and thoroughness in completing work tasks. 10. Analytical thinking and problem-solving skills. 11. Capable of working for and taking direction from multiple individuals.
