SUMMARY
Schedules appointments, gives information to callers, takes minutes, and otherwise relieves officials of clerical work and minor administrative and business detail.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Composes and types routine correspondence and contracts
· Organizes and maintains file system and files correspondence and other records
· Arranges conference calls
· Arranges and coordinates travel schedules and reservations
· Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
· Prepares outgoing mail and correspondence, including e-mail and faxes
· Processes monthly life/disability billing
· Quality Assurance Quarterly report, etc.
· Enters/tracks training information
· Files EEO/OSHA reports
· Processes LTD/STD/Life insurance claims
· Helps arrange various company functions
· Assists in compiling budget information on insurance plans
· Supports all other administrative departments and Human Resources Department.
· Manages insurance claims for accidents and worker’s compensation.
· Oversees management of corporate pension program.
· Maintains insurance policies and insures proper billing.
· Works directly with CFO with tasks associated with administrative functions.
· Manages company fleet records
· Insuring proper input of insurance information for open enrollment.
· All other duties as assigned by CEO, CFO, or HR Director.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A familiarity with Human Resources and Finance is a plus. EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three years related experience and/or training, or equivalent combination of education and experience. Familiarity with UKG (Kronos) is a plus. Must be experienced with Microsoft Office Suite, specifically MS Excel and Word.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or
diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
