Administrative Services Director plans and directs the operations of an organization's staff and service functions. Oversees various internal service functions that typically include administrative/office, financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Being an Administrative Services Director monitors capital and operating budget spending. Designs and implements processes and policies that support efficient service delivery and meet the organization's changing needs. Additionally, Administrative Services Director sets departmental performance goals and standards of service. Utilizes data analytics to measure activity and drive continuous improvement. Requires a bachelor's degree. Typically reports to top management. The Administrative Services Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Administrative Services Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     The Assistant Director – Administrative Services plays a pivotal role in supporting the overall administrative functions of the Smithsonian Early
    Enrichment Center (SEEC). This position involves a combination of leadership,
    organizational, and interpersonal skills to ensure the smooth operation of
    daily activities. The Assistant Director collaborates closely with the Executive Director, faculty, staff, and parents to maintain a high standard of care and a
    positive learning environment for children. This position functions as a backup to the Executive Director and is located in Washington DC.

    HERE’S MORE OF WHAT YOU’LL BE DOING:

    Administrative Leadership

    · Assisting in the development and implementation of administrative policies and procedures.

    · Overseeing day-to-day administrative operations, including payroll, accounting, tuition
    payments, and related tasks.

    · Maintaining licensing requirements and ensures compliance with licensing regulations and organizational standards.

    · Collaborating with the Executive Director to create and maintain efficient record-keeping, communication, and documentation systems.

    · Providing oversight of Center facilities, coordinating with Smithsonian points of contact
    and external vendors as necessary.

    Staff and Family Support

    · Interacting with faculty and families and provides support as needed.

    · Assisting in recruiting, hiring, and training new faculty and staff.

    · Providing leadership, mentorship, and ongoing support to faculty and staff.

    · Fostering a positive and nurturing environment that promotes diversity, inclusion, belonging, teamwork, and professional growth.

    · Facilitating regular communication channels between faculty and parents to enhance
    transparency and collaboration.

    Financial Oversight

    · Working closely with the Executive Director to manage budgetary matters, including monitoring expenses, billing/invoicing, and financial reporting.

    · Serving as a point of contact for parents, addressing inquiries and concerns and providing information about financial topics.

    Quality Assurance

    · Implementing quality control measures to uphold the highest standards of care and education.

    · Conducting regular audits of administrative processes to identify areas for improvement and efficiency.

    Personnel Management

    · Providing mentorship and support for staff.

    Ideal candidates have experience working and teaching in a school or childcare setting. They will be an effective communicator, who recognizes others’ lived experiences and identities and demonstrates respect and curiosity for different approaches, ideas, and concerns. They are flexible, take initiative, and eager to learn how SEEC approaches early education!

    KNOWLEDGE EXPERIENCE:

    · Strong organizational, leadership, and communication skills

    · Strong leadership and project management skills

    · A customer service mindset

    · Flexibility and adaptability to changing responsibilities within the role

    · Self-starter,
    motivated, and organized for independent work

    · Previous experience in a supervisory or administrative role within a childcare or educational setting a plus.

    · Familiarity
    with licensing regulations and knowledge of best practices in early childhood
    education a plus.

    SKILLS:

    · Skill in using computer software for word processing and internet applications, specifically: Microsoft Office and OneDrive

    · Must demonstrate the ability to work cooperatively and collaboratively in teams with other Early Childhood professionals and administrators

    · Must demonstrate strong communication skills, both oral and written

    REQUIRED QUALIFICATIONS:

    · Candidates must hold a Bachelor’s Degree in early childhood education, business administration, or a related field.

    · Ability to pass a pre-employment drug test, criminal background, and credit check required by OSSE and Smithsonian Institution

    · Must be COVID Vaccinated and Boosted as required by DC licensing guidelines

    Job Type: Full-time

    Pay: $80,000.00 - $90,000.00 per year
