Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries
- Assist in the preparation of regularly scheduled reports and presentations
- Develop and maintain a filing system, both physical and digital
- Order office supplies and maintain inventory
- Coordinate meetings, appointments, and travel arrangements for staff
- Assist with project coordination and follow-up on action items
- Perform data entry tasks and maintain accurate records
- Transcribe notes and documents as needed
- Proofread documents for errors and inconsistencies
- Provide excellent customer service to clients and visitors
- Handle sensitive information in a confidential manner
Qualifications:
- Computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
- Previous experience in an administrative role is preferred but not required
Please note that this is not a medical receptionist position. However, any previous experience in a medical setting would be considered a plus.
