About You :
Day to Day :
Handling Incoming Calls : You will be responsible for answering incoming calls in a professional and courteous manner, directing calls to the appropriate personnel, and taking detailed messages when necessary.
Your ability to communicate clearly and effectively will be essential in providing excellent customer service.
Managing Mail : As part of your duties, you will manage incoming and outgoing mail, including sorting, distributing, and processing mail items.
Additionally, you may be required to assist with preparing and sending packages as needed.
Light Filing and Data Entry : Your role will involve maintaining organized filing systems, both physical and electronic, to ensure easy access to important documents.
You will also be responsible for accurately entering data into various systems or databases, maintaining data integrity and confidentiality.
Scheduling : You will assist in scheduling appointments, meetings, and events for team members, utilizing scheduling software or tools as needed.
This may involve coordinating with internal staff, external clients, and vendors to ensure smooth scheduling and logistical arrangements.
Conference Room Coordination : You will manage the scheduling and coordination of conference rooms for meetings and events, ensuring rooms are properly set up with necessary equipment and materials.
Additionally, you may assist in arranging catering services and other logistical support for meetings.
Other Administrative Support : As part of a dynamic office environment, you may be called upon to provide additional administrative support as needed, such as photocopying documents, preparing reports or presentations, and assisting with special projects.
