Administrative Assistant - Bilingual performs secretarial and administrative duties in two or more languages. Collects, reviews and analyzes data and prepares reports, charts, budgets and other presentation materials. Being an Administrative Assistant - Bilingual responds to or routes routine inquiries from external or internal sources with customized correspondence in the required language. Schedules and coordinates meetings, travel, and other group activities. Additionally, Administrative Assistant - Bilingual is fluent in two or more languages and prepares document translations. Has advanced word processing, spreadsheet, and graphics software skills. Requires a high school diploma. Typically reports to a supervisor or manager. Oversee and support all administrative duties in the office and ensure that the office is operating smoothly. They will assist faculty, students, and guests with any questions that they might have.
This includes being physically present and accountable for the physical building space, overseeing IT equipment, small department equipment, and space maintenance.
Major Responsibilities :
Run monthly budget reports and meet with department chairs to discuss the reports* Monitor departmental purchases and process the paperwork for reimbursements* Supervise student workers in the equipment room, audio booth, and Sirko maker space
Required Knowledge and Skills :
High School / Equivalent required* Bachelor's degree preferred* At least one year working as an administrative assistant in an office type setting* There are a variety of tasks that involve working with faculty, students, staff, and other offices on campus that require a lot of flexibility* Experience in organizing meetings, field days, managing vendors, and making arrangements for guests to come to campus* Data entry and record keeping* Program reviews, department budget reviews, and previous syllabi
This position is full time during the academic year and part time in the Summer
Rate of pay $17 per hour
