Administrative Assistant - Bilingual performs secretarial and administrative duties in two or more languages. Collects, reviews and analyzes data and prepares reports, charts, budgets and other presentation materials. Being an Administrative Assistant - Bilingual responds to or routes routine inquiries from external or internal sources with customized correspondence in the required language. Schedules and coordinates meetings, travel, and other group activities. Additionally, Administrative Assistant - Bilingual is fluent in two or more languages and prepares document translations. Has advanced word processing, spreadsheet, and graphics software skills. Requires a high school diploma. Typically reports to a supervisor or manager. The Administrative Assistant - Bilingual works under moderate supervision. Gains or has attained full proficiency in a specific area of discipline. To be an Administrative Assistant - Bilingual typically requires 1-3 years of related experience, or may need 0 years of experience with additional specialized training and/or certification.     ·       9:00 AM to 5:00 PM 
    ·       Located in our office in West Indiana (Zip Code: 46278). *This is not a Remote Position*

    ·       Pay: $15-$18 /hour.
     
     
    Bilingual Administrative Assistant
     
    ·       Do you have at least 2 years of assisting someone in a senior role with their day-to-day responsibilities?
    ·       Can you efficiently use computers, software, and technology to create and communicate with others?
    ·       Are you obsessive-compulsive about details, and planning, and love helping high-performers achieve goals?
    ·       Are you a proactive self-starter who can provide solutions to my day-to-day challenges?
    ·       Can you work with minimal supervision, minimal feedback, and minimal direction?
    ·       Are you a great listener and problem-solver?
    ·       Do you have proficiency in Microsoft Excel, including the ability to create complex formulas, pivot tables, and macros?

     
    Job Responsibilities and Deliverables
     
    ·       Manage the transactional, administrative, office, and clerical needs of the company.
    ·       Utilize advanced Excel skills to create and maintain complex spreadsheets for various purposes, such as project tracking, financial analysis, and inventory management.
    ·       Managing the physical office environment and maintaining a comfortable workspace.
    ·       Assists Operation Manager with his day-to-day personal and professional responsibilities no matter how big or small.
    ·       Organizes and responds to emails on time.
    ·       Proactively escalates communication with parties to include text messaging and phone calls if stakeholders are not responsive to email
    ·       Plans and organizes the day effectively
    ·       Assists team with implementing process improvement or new processes into the business.
    ·       Order and maintain office supplies, and company apparel as needed.
    ·       Maintain a comfortable and professional office environment for the team. This may include recommendations to improve the office environment and implementing your recommendations.
    ·       Weekly and monthly updates to the company’s administrative, financial, and performance-tracking spreadsheets and software systems.
    ·       Assist Lead Manager and Operation Manager with reporting Key Performance Indicators in the company’s Master Business Plan spreadsheet.
    ·       Update, document, and maintain company Google Drive, and SOP (Standard Operation Procedures) software.
    ·       Electronically file company receipts in the company Drive.
    ·       Report, track, and update the company’s marketing campaigns and list data inside the company’s Google Drive.
    ·       Issue all accounts payable within the agreed-upon terms
    ·       Review employee paystubs from HR before approving payroll to be processed
    ·       Accurately schedule lenders on payments based on promissory note terms
    ·       Review vendor invoices and confirm service or materials have been received before submitting payments
    ·       Submit payment to vendors with agreed-upon terms based on company protocol

    Required Experience
     
    ·       2 years’ experience supporting an executive in an administrative capacity or supporting the growth of an organization
    ·       Strong work ethic, professionalism, confidentiality, and good judgment
    ·       Attention to detail with a preference for perfection
    ·       Proactive at anticipating the operational needs of an executive before waiting for the executive to react to drive activity.
    ·       Outstanding written and verbal communication.
    ·       Passion for continuous self-improvement and sharing best practices.
