ESSENTIAL FUNCTIONS:
● Administrative Support: support the “Evidence and Intelligence for Action in Health (EIH)” department by handling a broad range of administrative duties, meeting coordination, and travel
● Bilingual Drafting: Type information and correspondence in both English and Spanish
● Text Editing and Review: Draft, edit, and review different documents and presentations for accuracy and correct spelling in both languages
● Translation Support: Prepare draft translations of correspondence and other documents, ensuring clarity and adherence to the Organization's standards and policies.
● Document Formatting: Format and prepare a variety of documents in both English and Spanish for final presentation
● Review and Proofreading: Review, proofread, and recommend revisions to correspondence and other material for clearance/signature, maintaining high standards in content clarity and accuracy
CORE DUTIES AND RESPONSIBILITIES
● Document Handling: Assist in translating documentation, manage the upload process, and ensure completion of translations
● Publication Requests: Prepare requests for Publication Internal Bulletins (PIB) and Delegation of Authority as required
● Travel Coordination: Make travel arrangements for staff, including preparing travel authorizations, reservations, and handling related requirements.
● Virtual Meetings: Organize and host Zoom and Teams meetings.
● Regular, dependable attendance and consistent satisfactory or above job performance
● Other related duties, as assigned.
EXPERIENCE AND MINIMUM QUALIFICATIONS
● Fluent in speaking and writing for both English and Spanish (Required)
● Administrative Skills: Proven experience in administrative support, including meeting preparation, budgeting, and travel coordination. (Required)
● Translation Abilities: Experience in supporting translation processes for documentation. (Required)
● IT Skills: Proficient in using current technology and software, including learning internal system, and using Microsoft Excel, Outlook, OneDrive, PowerPoint, Teams, SharePoint, and Word (Required)
