Accounts Receivable Supervisor is responsible for supervising and guiding operations in the accounts receivable function of an organization. Maintains and reconciles accounts receivable ledger to ensure accurate and timely receipt of payments. Being an Accounts Receivable Supervisor monitors collection period and sends follow-up inquiries regarding payments for the organization. Negotiates with past-due accounts to resolve all payment issues in a timely manner. Additionally, Accounts Receivable Supervisor implements standard operating procedures to ensure compliance with internal accounting policies and controls. Generates reports to bring insight into collections, account ages, and other relevant metrics and relays conclusions to management. Requires a bachelor's degree. Typically reports to a manager. The Accounts Receivable Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Accounts Receivable Supervisor typically requires 3 years experience in the related area as an individual contributor.     POSITION DESCRIPTION

     

         I.        Position:  Accounts Receivable / Billing Specialist

        II.        Status: Full time, Salaried

      III.        Reports to: CFO

        IV.        Position Summary:  Responsible for the PAS bi-weekly billing and receivable process, including detailed work in denials, unpaid or improperly paid claims, and appeals to obtain maximum reimbursement. Responsible for the filing of claims and electronic clearinghouse processes.  Responsible for prioritizing, scheduling, delegating and directly supervising the billing staff to ensure accurate and timely billing

        V. Position Expected Hours of Work: This is a Full-Time, Salaried position. At minimum, days and hours of work are Monday through Friday, 8:00 am to 4:30 pm. However, there may be some variability in       the weekly schedule due to agency need. Occasional evenings and weekends. Staff is expected to be able to work in the office, remotely, or a hybrid of both, during regular business hours.

       VI.      Essential Functions of the Position: 

    1. Responsible for the direct supervision of the Billing Team, including annual reviews, disciplinary actions, and day-to-day documentation.
    2. Assures the complete, accurate, and timely processing of PAS Billing on a bi-weekly basis especially the creation of all PAS billings using billing software, clearinghouses, electronic portals and paper billing (if needed) to complete the billing for each payroll cycle.
    3. Supervises data quality, validation, and maintenance of the Electronic Visit Verification database related to billing.
    4. Work collaboratively with the PAS department to ensure all claims are submitted with a goal of zero errors. This includes verifying accuracy of all claims prior to submission through Clearinghouse and accurately posting all insurance payments by line item.
    5. Responsible for communication with billing sources, clearinghouses, and the PAS department to problem solve issues as well as expedite claims management.  In addition, responsible for the quarterly creation of a write-off report for aged receivables.
    6. Maintain an on-going knowledge of payor requirements as well as applicable contracts, regulations, and laws. Establish and maintain effective working relationships with carrier representatives.
    1. Works in collaboration with Accounting Management to develop, implement, maintain, and evaluate billing policies, procedures, and practices.
    2. Works in collaboration with Accounting Management to develop and implement systems that make the Billing department more efficient; as well as assist with personnel development, quality assurance, and program evaluation.
    3. Attends conferences, seminars, and meetings regarding issues related to Billing and Supervision as needed and required.
    4. Proactively advocate for the rights and involvement of individuals with disabilities; provide advocacy and support for the Independent Living Philosophy and assist with Billing Staff allocation in this area.
    5. As a member of the agency’s management team, will attend fundraising and other special events as requested and will interact with members of the board of directors.
    6. Plays an active role in the leadership and overall morale of the accounting department, and is responsible for a variety of tasks associated with the operation of the accounting department and Independence First as a whole.  Performs managerial responsibilities including but not limited to:  training, mentoring, coaching and developing colleagues; interviewing, hiring, planning, assigning and directing work.
