POSITION SUMMARY  

Keelson Management’s Accounts Receivable & Billing Supervisor leads the customer billing and accounts receivable function in a fast-paced and global corporate environment.  Key accountabilities include preparation of customer invoices and account statements on a weekly basis, management of the AR aging and collections, customer inquiry and dispute resolution, and facilitating an environment of continuous improvement, accuracy, accountability, and control. 

ESSENTIAL FUNCTIONS 

• Supervise direct reports in the customer billing and accounts receivable function 
• Prepare customer billings and statements of account for distribution on a weekly basis 
• Resolution of customer inquiry and billing disputes 
• Supervise the customer payment (cash) applications to customer accounts on a timely basis 
• Resolve discrepancies between payment remittance and outstanding invoices with customers  
• Update daily check log of all payment amounts received and provide explanation of short paid or overpayments   
• Update a payment remittance log of all invoices paid by the customer  
• Conducts second level review and oversight of billing review to ensure all invoices and billing support are accurate before distribution to customers 
• Update invoices review log each time an invoice is approved, daily  
• Update Weekly Flash report with AR activities and numbers  
• Update Daily Cash Position report for collection activities  
• Provide weekly receipts projections  
• Prepare monthly interest invoices for each customer  
• Coordinate billing of monthly interest with Billing department  
• Submit invoice requests to OCU clerk to send to customers  
• Collaborate with Accounting team on all accounts receivable, bad debt expense adjustments, and revenue accruals at month-end.  

Requirements

 KNOWLEDGE SKILLS AND ABILITIES 

• Proficient computer skills, including Microsoft products and enterprise ERP systems 
• Intermediate to advanced skills using Microsoft Excel (vlookups and pivot tables, etc.) 
• Ability to work closely with and build strong work relationships with vendors and internal customers  
• Strong written and verbal communication skills  
• Strong analytical and problem-solving skills 
• Ability to drive continuous improvement in systems and processes 
• Ability to multitask, prioritize, and manage time efficiently in a fast-paced environment 

REQUIRED EDUCATION AND EXPERIENCE 

• 2 years supervisory experience strongly preferred 
• 2 years of experience in processing billing and accounts receivable in a large-corporation, multiple-entity environment  
• Bachelor's or Associate’s degree in Business or related field preferred; high school diploma or equivalent required 
• 3 - 5 years of progressive related and relevant business experience required. 

PHYSICAL REQUIREMENTS 

• Ability to remain in a stationary position for extended periods of time 
• Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, lift and small carry parcels, packages and other items
