As the Accounts Payable Supervisor you will be responsible for leading the Finance department’s accounts payable and resident trust functions.

ESSENTIAL DUTIES:

• Serve as assigned supervisor for the A/P staff. Participate in team hiring interviews, conduct employee performance reviews, disciplinary conferences, and exit interviews in a timely fashion.
• Communicate with management regarding any A/P issues.
• Responsible for workload management, working directly with the Director of Accounting & Financial Operations to determine areas to relieve overburdened workloads.
• Research any discrepancies with staff, vendors, etc. to ensure the accounts payable process is accurate, or delegating to staff as necessary.
• Maintain accurate, neat, and organized files for all accounts payable records to assure prompt payment and retrieval.
• Manage weekly check run processed by the Accounts Payable Coordinator.
• Responsible for setup and maintenance of vendors, W-9s, and 1099 forms annually or as needed. Process annual 1099 tax filings and mailings to contractors.
• Supervise the voucher adjustment system, including review, approval, and posting of journal entries.
• Participate in cash flow management with the Assistant Controller and Financial Analyst. Process transfers for various automatic payments. Create stop-payments and reissue checks as necessary.
• Manage monthly auto-payments for utilities, credit cards, etc., ensuring banking records agree to accounts payable system.
• Perform monthly expense reviews and report to the Director of Accounting & Financial Operations of any findings.
• Plan and execute monthly trainings for AP staff regarding various topics determined by the Director of Accounting & Financial Operations.
• Prepare documentation for audit and cost report preparation. Have the ability to handle requests from third parties, including, but not limited to banking institutions, auditors, and/or legal.

• High school or equivalency diploma required, Associate's Degree preferred
• 3 years Accounts Payable experience required
• Previous supervisory experience required
