Accounts Payable Supervisor is responsible for supervising and guiding the day-to-day operational activities of an accounts payable function. Maintains and reconciles accounts payable ledger to validate charges and ensure accurate and timely payments. Being an Accounts Payable Supervisor prepares and evaluates applicable accounting reports to identify trends, inefficiencies, and opportunities for cost-savings and relays the conclusions to management. Implements standard operating procedures to maintain accurate financial records and compliance with accounting policies. Additionally, Accounts Payable Supervisor investigates and resolves discrepancies in billings and payments. Requires a bachelor's degree. Typically reports to a manager. The Accounts Payable Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Accounts Payable Supervisor typically requires 3 years experience in the related area as an individual contributor.   • BROAD FUNCTION:

    This position assists in the attainment of Finance/Fiscal Services goals and objectives through effective maintenance and processing of accounts payable transactions.

    KEY RESPONSIBILITIES:

    1. Maintain confidentiality of Accounts Payable information, adhering to organizational security and compliance policies.
    2. Timely and accurate processing of incoming accounts payable invoices.
    3. Entry of MM/AP invoices and follow up on related tasks.
    4. Resolve invoice/statement discrepancies.
    5. Weekly preparation of scheduled disbursements for the OH’s affiliates.
    6. Schedule invoices for weekly disbursements pending approval by Controller.
    7. Vendor statement review and follow up.
    8. Ability to act in back up capacity for AP routine functions.
    9. Internal/External follow up of outstanding AP invoice issues
    10. Assist in/perform month end closing routine, production of necessary reports, reconciliations and analysis.
    11. Maintenance of vendor files/records.
    12. Coordinate the mailing/printing of weekly disbursements.
    13. Assist in review/resolution of outstanding and/or stale dated payments.
    14. Other duties as assigned by AP Supervisor and/or Director of Finance.
    15. Demonstrate cost effective awareness in use of supplies and resources.
    16. Demonstrate competence in use and maintenance of all department equipment.
    17. Utilize proper technique of body mechanics for personal safety.
    18. Maintain a safe environment for staff and customers.
    19. Demonstrate complete knowledge of safety policies and procedures.

    COMMUNICATIONS/GUEST RELATIONS:

    1. Handle telephone information with courtesy, accuracy and respect for confidentiality; receive information and distribute messages appropriately.
    2. Consistently communicate appropriately with customers and respond to requests for assistance promptly.
    3. Provide accurate communication in verbal, non-verbal and written form.
    4. Communicate effectively with supervisor, including but not limited to changes of operation. Report to supervisor regularly on the status of ongoing projects.
    5. Assist with orientation of new staff.
    6. Follow proper chain of command appropriately to resolve problems and concerns.
    7. Provide positive and productive support to the team and promote teamwork. Is kind, courteous, respectful and professional in all interactions with all hospital personnel at all levels.

    Education and Experience:

    • High school diploma or GED required.
    • 1-3 years’ experience required.

    Pay Range: $18.50-$20.50/hr

    Employee salary is based on commensurate experience and other qualifications.
