Accounts Payable/Receivable Clerk supports the day-to-day operational activities of an organization's accounts receivable and accounts payable functions. Ensures transactions are recorded promptly and accurately in accordance with internal accounting policies. Being an Accounts Payable/Receivable Clerk creates and distributes invoices to customers and verifies, records, and posts payments received. Reviews purchase orders, statements, and invoices to verify amounts owed and records and processes payments for debts owed by the organization. Additionally, Accounts Payable/Receivable Clerk responds to customer or vendor inquiries regarding payments or billing and researches and resolves discrepancies. Maintains and reconciles accounts payable and receivable ledger accounts. Requires a high school diploma. Typically reports to a supervisor. POSITION DUTIES
This position prepares, reviews and processes invoices received by the Department for payments using the statewide FMIS system. This position ensures that invoices are accurate, approved for payment, and submitted to Finance for payment processing. Must be able to identify discrepancies, communicate with department involved, and resolve. Review and verify source documents such as invoices, receipts, vouchers, Purchase Orders for payment to vendors. Maintains accurate data by entering and updating accounts when additional information is received. Verify financial transactions have been entered, released, and transmitted to the State Comptroller.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate. Experience: Two years of experience reviewing, verifying, recording, adjusting and balancing financial transactions. Notes: 1. Experience calculating and recording financial, statistical or other numerical data may be substituted on a year-for-year basis for the required high school education. 2. Six credit hours in accounting from an accredited college or university may be substituted for one year of the required experience. 3. A minimum of five courses or six months of accounting-related training in a vocational training program in subjects such as journalizing transactions, analyzing transactions into debits and credits, posting to a general ledger, payroll, bank reconciliations, accounts payable, and accounts receivable may be substituted for one year of the required experience. 4. Candidates may substitute U.S. Armed Forces military service experience in Financial Clerical/Finance Technicians classifications or specialty codes in the financial field of work at a rate of one year of military experience for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred Qualifications: 1. Proficient in Accounts Payable process in State of Maryland Financial Management Information System (FMIS).� 2. Proficient in Microsoft Office and Google Applications.
SPECIAL REQUIREMENTS
In accordance with Section 2-204(b)(6) of the Public Safety Article, Candidates for position in this classification will be subject to an initial drug screening and a complete criminal background investigation to include a polygraph examination before permanent appointment can be made. A criminal conviction may be grounds for rejection of the candidate.
SELECTION PROCESS
